Secret Scooper (Team Member)

At Secret Creamery, we’re devoted to making delicious ice cream and creating experiences. Our scoop shops are at the core of how we achieve this. As an Secret Scooper, you will:

Specific duties include, but are not limited to:

  • Guest Engagement. Scoopers constantly interact with guests while they wait in line, when they enter the shop, when getting their ice cream, at the registers and when they exit the premises.
  • Scoop the perfect scoop for our guests. Scooping ice cream for 2-4 hours, multiple times per shift.
  • Cash handling. Being able to accurately ring-up a purchase, operate our POS and registers. Be able to receive cash and give the accurate amount back. (Where applicable)
  • Follow shop standards and maintain shop cleanliness. This can include: washing dishes, constructing and serving products according to recipes and/or service specs, cleaning facilities (floors, walls, bathrooms, freezers), uphold organization standards, put away orders according to standards and product maps.
  • Restock the shop supplies. Scoopers restock retail, pull tubs to temper, restock the pint freezer, restock paper goods, restock cones, spoons, etc. multiple times a shift.
  • Consolidate tubs of ice cream and replenish from the walk-in freezer / storage area freezer.
  • Pack online orders and ensure we are packing or scooping the correct order.
  • Promptly answer the phones and give excellent customer service over the phone.
  • Float. This is a combination of responsibilities (dishes, lobby cleaning, restocking, etc.) that aid in ensuring that those in the scooping rotation always have what they need to continue scooping.
  • Tasting/sampling a scoop of ice cream daily (including, when possible, different flavors of ice cream, including flavors that might not be the Team Member’s personal preference), in order to be able to better communicate to customers why they might enjoy each flavor.

Qualifications 

To perform the job successfully, an individual should have the following qualifications:

  • Food handlers card is required within 30 days of start of employment.
  • 0-1 years work experience.
  • Must be able to work 1 weekend day every week, and at least 3 shifts a week.
  • Available to work holidays.
  • Available to work at least one closing shift a week with the potential to work as late as 2am.

Knowledge and Critical Skills:

  • Excellent communication skills are a requirement. Being able to effectively communicate with guests, the rest of the team, as well as management to ensure a smooth and successful shift is critical.

Secret Shift Lead

The Secret Shift Lead position is responsible for supporting shop leadership by running the floor, leading the Scoopers and monitoring daily operations within the shop. They ensure completion of daily shop tasks and responsibilities. This role largely runs the FOH, allowing other leaders to complete additional operational tasks in the BOH. Ensures the daily / hourly checklists of the shop are completed, allowing management to focus on additional operational necessities of the shop. Shift Leads contribute by keeping everyone on track and leading by example. They give helpful tips to new Team Members, correct any errors made by a Scooper, and lend a helping hand anywhere that it's needed.

Essential Functions

  • Guest Engagement. Shift Leads constantly interact with guests while they wait in line, when they enter the shop, when getting their ice cream, at the registers and when they exit the premises.
  • The Shift Lead upholds established shop standards through the ownership and delegation of the Secret Standards Guide (weekly and daily checklists), ensures exceptional guest experience, and is responsible for leading Scoopers through the shift.
  • Provide additional support to management by delegating opening, closing and daily tasks to maintain operational excellence and necessary operating hours.
  • Helps shop leadership to roll out new training programs and trains new shop Team Members.
  • Having in-the -moment training conversations to uphold product standards, shop safety and cleanliness, standards, and organizational expectations.
  • Delegate tasks and create/use the Secret One Sheet (SOS) to ensure all Team Members take breaks and are rotated through the stations appropriately. They will ensure all Team Members are stretching before starting their shift and returning from lunch breaks.
  • Ensure company policies are followed by Scoopers and communicate with leadership when coaching is necessary.
  • Ensure safety protocols are followed to keep the team safe and healthy when working and reports injuries and follows protocols in the event of an emergency.
  • Go through all of the same rotations the Scoopers do: scooping, register, dishes, line hosting, float, etc.
  • Maintain a consistent standard of customer service and resolve guest concerns as situations occur in a kind and thoughtful way.
  • Conduct ice cream inventory. Count all the tubs and pints and input them into the system. Audit invoice and put away orders of ice cream in the walk-in freezer..
  • Escalate appropriately to ensure shift is meeting hospitality and safety standards.
  • Tasting/sampling a scoop of ice cream daily (including, when possible, different flavors of ice cream, including flavors that might not be the Team Member’s personal preference), in order to be able to better communicate to customers why they might enjoy each flavor.

Additional Responsibilities

  • Identify supply needs and place Supply Request from vendor when additional leaders are not in shop.
  • Complete daily administrative banking duties when manager is not present.
  • Menu Management- update outages on Third Party Delivery (TPD), updates customer menus as needed.
  • Promptly answer the phones and give excellent customer service over the phone.
  • Other duties as assigned.

Qualifications

To perform the job successfully, an individual should have the following qualifications:

  • Food handlers card is required within 30 days of start of employment.
  • 1-3 years work experience.
  • Food industry or customer service experience preferred.
  • Must be able to work 1 weekend day every week, and at least 3 shifts a week.

Secret Shop Manager

The General Manager position is responsible for providing operational, administrative and leadership support under the direction of ownership and brand ownership. They do this by running the floor, leading the Scoopers and Shift Leads, directing daily operations within the shop and completing administrative responsibilities in the back of house (BOH). The General Manager operates with an emphasis on the Secret Creamery mission, vision and values; this fosters the culture and community experience that we’re known for, creates a positive work environment for the team, and contributes to the success of the business both financially and operationally.

Essential Functions

  • Work with ownership and brand ownership to meet shop scorecard metrics for operational and financial excellence.
  • Lead the team on every shift. Lead by example on: flavor stories, guest experience, station rotations. 
  • SOS Creation. Write and execute the Secret One Sheet (SOS). Managers will be certified to write a strong SOS that ensures team safety, scheduling breaks, cascading deployment, and position planning that supports throughput during peak hours. They will ensure all Team Members are stretching before starting their shifts and returning to work.
  • Ensure Secret Standards Guide is being completed by team. Tasks include - opening duties, daily cleaning tasks, equipment check, closing duties, etc.
  • Support Shift Leads in leading shifts and provide support (or take the lead) in difficult situations with both Team Members and guests.
  • Team training and development. Onboard and train new Team Members, both Scoopers and Shift Leads on an ongoing basis.
  • Work with the management teams on recruiting and staffing for their shop. Make staffing decisions that optimize team experience while reaching shop labor goals.
  • Performance Management. Coach Team Member performance on: customer interactions, interpersonal issues, checklist or task completion, etc. The General Manager may do 1:1's with Team Members, write, deliver and/or sit in as witness for corrective actions.
  • Collaborate with ownership teams to uphold company policies: time and attendance, dress code, etc.
  • Reporting. Assist in conducting end of month duties, supporting GM in completing analysis of daily sales reports, monthly P&Ls and key performance indicators.
  • Opening and closing shifts and responsibilities are required.
  • Quality assurance and food safety. Ensures food safety practices are being followed at all times.
  • Facilities Management. General Managers to maintain the shop and its equipment, and to understand equipment maintenance and failure processes. 
  • Collaborate with and assist ownership teams in administrative duties: managing shift changes, monitoring employee behavior, supply ordering, processing payroll, etc.
  • Scooper duties- as needed.
  • Tasting/sampling a scoop of ice cream daily (including, when possible, different flavors of ice cream, including flavors that might not be the Team Member’s personal preference), in order to be able to better communicate to customers why they might enjoy each flavor.

Additional Responsibilities

  • Conduct ice cream inventory. Count all the tubs and pints and input them into the system.
  • Audit invoice and put away orders of ice cream in the walk-in freezer.
  • Lead team and customers to take necessary actions in the event of an emergency.
  • Retail merchandising. Take an active role in product merchandising according to shop brand standards.
  • Menu Management- update outages on Third Party Delivery (TPD), updates customer menus.
  • Occasional offsite work at events or other locations.
  • Other duties as assigned.

Qualifications

To perform the job successfully, an individual should have the following qualifications:

  • Food handlers card is required within 30 days of the start of employment.
  • 1-3 years experience in food service or fast-casual dining or hospitality required.
  • 2+ years of experience as a leader/manager/supervisor required
  • Experience in leading a team of 20+ members in a high volume retail/restaurant establishment.
  • Must be able to work 1 weekend day every week, and at least 5 shifts a week.
  • Available to work at least two closing shifts a week with the potential to work as late as 1am.
  • Available to work holidays.

Production Lead

The Production Team is the heart of Secret Creamery. This is an exciting position for the right candidate to take ownership of leading the production space, along with having the flexibility to constantly invent, tinker with, and improve upon Secret Creamery products and flavor line -- not to mention a healthy amount of complimentary ice cream. The individual in this role is expected to plan and oversee the production of all components of Secret Creamery’s menu and lead the kitchen with a positive, solutions-oriented spirit. The Production Lead is tasked with creating a smooth and efficient operation focused on creativity, growth, profitability, and employee satisfaction. As Secret Creamery Grows and adds employees, they will be expected to train and manage all production staff in a way that emphasizes collaboration, innovation, and maintain an efficient yet enjoyable work environment. While specific ice cream production experience isn’t necessary, general kitchen experience is required along with experience in managing and building small teams.

The main role of the Production Lead is to work with the ownership and brand team to develop seasonal and monthly flavor calendars that incorporate established Secret Creamery flavors and products, while introducing new menu additions. The Production Lead will be expected to plan a general production schedule of 3-6 weeks in advance and specific weekly/day-to-day production schedules that adjust for the ebbs and flows of Secret Creamery licensed scoop shops and pint sales.

Key Result Areas & Responsibilities

Production Responsibilities

  • Create the 3-6 week and weekly production schedules which include the following:
  • Ice cream production;
  • Prep, ordering, and production of any inclusions needed for ice creams;
  • Packaging;
  • Cleaning
  • Set & maintain pars for finished ice cream, inclusions, baked goods
  • Track ingredients & supplies and be responsible for ingredient & supply ordering within budget and with appropriate turnaround time; pick-up ingredients & supplies as needed
  • Assign daily tasks to other employees; oversee workflow and quality of work; make sure that tasks assigned are completed efficiently; and that daily production schedule is reasonable for an 8 hour shift
  • Communicate with owner, scoop shop manager (or shop shift leaders) regarding flavor or quality feedback; shop inventory levels; and any ingredients or products that need to go from the kitchen to the shop

Quality Assurance; Growth; Costing Responsibilities

  • Work with ownership and brand team to create & enforce a known quality and consistency standard for all product; schedule periodic meetings with other kitchen employees to review, evaluate and improve these standards
  • Work with ownership and brand team to develop & maintain costing protocols that track both ingredient and labor costs, focusing on one product at a time

Kitchen Organization & Maintenance

  • Learn & maintain an organizational system for all product and supplies including: cold, frozen, and dry ingredients, packaging supplies, and cleaning supplies
  • Take weekly inventory of all finished products & if needed, adjust subsequent production schedule based on those numbers
  • Be familiar with all equipment; implement a cleaning schedule for all large equipment; and communicate with ownership to schedule regular maintenance on equipment
  • Implement regular facility cleaning schedule, maintain sanitation standards, and best practice manufacturing procedures
  • Be able to recognize issues with equipment, troubleshoot minor issues, and notify ownership of any serious mechanical issues as soon as possible

R & D Responsibilities

  • Offer suggestions for improving current flavors (either through streamlining production processes; improving quality; or improving production efficiency and cost) and work with ownership to establish R&D schedule
  • Suggest new menu additions bearing in mind the following: creativity; seasonality; collaboration potential; easy access to ingredients; ability to scale; ingredient & labor costs

Leadership & Employee Management Responsibilities

  • Lead the kitchen with a bright, positive, supportive, innovative, can-do spirit and impart the belief that all tasks are important & of value, and must be completed with a mindset of excellence
  • Lead kitchen staff with direct and clear instructions and feedback; offer praise along with constructive critiques and strategies for improvement as needed; encourage and accept questions, concerns, or suggestions
  • Assist with hiring and be responsible for training new staff members & imparting the Secret Creamery “why” to them
  • Plan training shifts for new employees; periodic meetings for review of product quality & ongoing training; and work with ownership to plan periodic general staff meetings between kitchen & scoop shop staff
  • Must be comfortable learning and operating manufacturing equipment (including but not limited to: ice cream batch freezers, industrial sized blenders, pumps)
  • Maintain food safety records

Requirements

  • Serv-Safe Certification (Manager preferred, but not required)

The Production Lead is an extremely exciting position in that the compensation will directly increase with the performance and growth of the production kitchen. We’re looking for someone to take ownership of the production space and grow with us. This is a part-time position (full time optional as we grow) starting at an hourly rate of $20-$22 based on experience, and increasing to $25/hour after a successful training/trial period.

  • The Production Lead candidate will have a training period of 3 months. During the training period, the candidate will work directly with the owner to learn methods and recipes that they’ll then be expected to implement into a production schedule. They’ll participate in all aspects of production in order to learn not just their job, but those that they’ll be supervising. As our company grows, the Production Lead will then begin to implement what they learn during training to other kitchen hires. The training/trial period is also as much for the candidate as it is for us. We want to make sure YOU’RE confident in the job fit. The Production Lead candidate will be given specific tasks with clear timelines and deliverables. Successful completion of those tasks (within the specified timeframe) will play a large part in being offered the Production Lead title.   • Learn & maintain an organizational system for all product and supplies including: cold, frozen, and dry ingredients, packaging supplies, and cleaning supplies
  • Take weekly inventory of all finished products & if needed, adjust subsequent production schedule based on those numbers
  • Be familiar with all equipment; implement a cleaning schedule for all large equipment; and communicate with ownership to schedule regular maintenance on equipment
  • Implement regular facility cleaning schedule, maintain sanitation standards, and best practice manufacturing procedures
  • Be able to recognize issues with equipment, troubleshoot minor issues, and notify ownership of any serious mechanical issues as soon as possible

R & D Responsibilities

  • Offer suggestions for improving current flavors (either through streamlining production processes; improving quality; or improving production efficiency and cost) and work with ownership to establish R&D schedule
  • Suggest new menu additions bearing in mind the following: creativity; seasonality; collaboration potential; easy access to ingredients; ability to scale; ingredient & labor costs

Leadership & Employee Management Responsibilities

  • Lead the kitchen with a bright, positive, supportive, innovative, can-do spirit and impart the belief that all tasks are important & of value, and must be completed with a mindset of excellence
  • Lead kitchen staff with direct and clear instructions and feedback; offer praise along with constructive critiques and strategies for improvement as needed; encourage and accept questions, concerns, or suggestions
  • Assist with hiring and be responsible for training new staff members & imparting the Secret Creamery “why” to them
  • Plan training shifts for new employees; periodic meetings for review of product quality & ongoing training; and work with ownership to plan periodic general staff meetings between kitchen & scoop shop staff
  • Must be comfortable learning and operating manufacturing equipment (including but not limited to: ice cream batch freezers, industrial sized blenders, pumps)
  • Maintain food safety records

Requirements

  • Serv-Safe Certification (Manager preferred, but not required)
  • Lift 30 lbs constantly
  • Lift 50 lbs occasionally and comfortably
  • Remain standing for the majority of the shift; stoop and reach
  • Must be 18 years of age or older
  • Ability to strictly follow recipes, standards, and procedures while adhering to safety and sanitation rules
  • Must have basic math skills
  • Tolerate abrupt and significant changes in temperature, due to frequent interaction with freezers and coolers
  • Ability to taste, smell, and distinguish colors and flavors
  • Must be able to climb step stools of varying heights
  • Ability to handle products and ingredients that include milk, egg, peanut, tree nut, soy, and/or wheat
  • Must have the ability to read, write and speak English
  • Reliable means of transportation to and from production facility

Job Specifications & Benefits

The Production Lead is an extremely exciting position in that the compensation will directly increase with the performance and growth of the production kitchen. We’re looking for someone to take ownership of the production space and grow with us. For the right person, this means performance based raises and being given a strong voice in the decision making at Secret Creamery.

This is a part-time position (full time optional as we grow) starting at an hourly rate of $20-$22 based on experience, and increasing to $25/hour after a successful training/trial period.

  • Training Period
  • The Production Lead candidate will have a training period of 3 months. During the training period, the candidate will work directly with the owner to learn methods and recipes that they’ll then be expected to implement into a production schedule. They’ll participate in all aspects of production in order to learn not just their job, but those that they’ll be supervising. As our company grows, the Production Lead will then begin to implement what they learn during training to other kitchen hires. The training/trial period is also as much for the candidate as it is for us. We want to make sure YOU’RE confident in the job fit. The Production Lead candidate will be given specific tasks with clear timelines and deliverables. Successful completion of those tasks (within the specified timeframe) will play a large part in being offered the Production Lead title. One of our company’s desires is to eventually be able to offer the Production Lead a future bonus/raise structure based upon successfully meeting agreed upon goals which impact the company’s overall culture, growth, and bottom line - this structure can be flexible & creative.
